St. Sebastian’s Financial Council – Meeting Minutes (May 11th, 2016) Attendees: Fr. Germán Sánchez, Stéphane Le Cam, Patricia Harty, Tony Vodopia, Irma Lomeli, Patti Newler, Ronni Catalan, and Anthony Chacon. I. Opening Prayer Fr. Germán led the opening prayer invoking the Holy Spirit.
II. Secretary for the Meeting Irma Lomeli, Parish Secretary. Fr. Germán and Irma asked council members to sign-in and to confirm/update their contact information.
III. Review – Previous Financial Meeting Minutes Fr. Germán asked the council to review the last meeting minutes for any changes. The council reviewed the minutes and approved it.
IV. Reason – Previous Financial Meetings Cancelled Fr. Germán explained to the council that previously scheduled financial council meetings were cancelled due to the fact that the church was going through some changes and that he preferred to postpone the meeting until he felt that there would be a more solid agenda.
V. Deanery Submission When the minutes of this meeting will be done, Fr Germán will send it to the Dean. Stéphane and Fr Germán will sign the submission after meeting.
VI. School Financial Situation Mrs. Patricia (Paty) Harty introduced herself as the transitioning School Principal. She shared a brief professional curriculum, and thanked the St. Sebastian Community for such a nice/warm welcome. Mrs. Harty informed the council that the School was in a very good condition thanks to all the prayers and the strong support from the Archdiocese. Mrs. Harty is working with the Archdiocese and other schools to obtain as much support as possible for the welfare and growth of St. Sebastian School. The school is expecting to have 104 Families enrolled for the 2016-2017 school year. Mrs. Harty will attend St. Joan of Arc’s Carnival on May 14th & 15th to promote our School enrollment and programs available (i.e.: “Dual Language Immersion Program”, etc…). Full of excitement, Mrs. Harty informed that the School Festival on April 30th & May 1st, 2016 was a total success!! That this year’s gains were much greater than last year’s and not including, the unclaimed silent auction items. Mrs. Harty strongly recommends Family Parents to consider enrolling their children at the school; to stop by the school office to obtain information about all the programs available for Grades Pre-K through 8th Grade. In addition, to learn about the discretionary tuition discount fees available for multiple family members (Siblings).
VII. Parish Financial Health & last 3 months Expense/Income Analysis The council reviewed the planned July 2015 – June 2016 fiscal year budget. Stéphane led the analysis and was very pleased to inform that the council had done a very nice job in planning the budget. The numbers look favorable for the closing of the July 2015 – June 2016 fiscal year.
VIII. 2017 Provisional Budget Stéphane and Fr. Germán informed the council that the budget for the new fiscal year would most likely remain the same. Fr. Germán suggested being a little more aggressive with the budget for the next three years. One of the goals would be to increase at least by 20% on weekly donations and fundraising activities. Stéphane provided the overall budget analysis review and his outcome was that the budget is “fairly well”. However, he does agree with Fr. Germán to try to increase the budget by at least 20% for the parish to be in a better financial condition.
IX. Welcoming the New Community (Religious Sisters) The Archdiocese strongly supports Fr. Germán into bringing three new Religious Sisters into the community of St. Sebastian. The Sisters are Colombian and will arrive at the end of June, 2016. Accommodation Expenses Clean-up and paint the Convent to welcome the new Sisters. Replenish bed linens; kitchen and bath towels; kitchenware, etc…. The council suggested scheduling a 2nd collection on the weekend of June 11th & 12th to help with the costs of the accommodation expenses. Mr. Antonio Santiago, leader of the Tlacolula Group, volunteered to help with the painting of the convent. Thank you, Mr. Santiago. Stipend Allowance The budget allows for the new Sisters to receive the same monthly stipend amount currently in place. Car Allowance Fr. Germán asked for suggestions as to whether it was a better idea to a) trade in the existing (old) car for a new car?; b) appraise the car and raffle it or sell it?; or c) lease or buy a new car?

II. Secretaria de la Reunión Irma Lomeli, Secretaria de la Parroquia. El P. Germán e Irma pidieron a los miembros del Consejo confirmar su asistencia y proporcionar o actualizar su información de contacto.
III. Revisión – Notas de la reunión Financiera anterior El P. Germán pidió a los miembros revisar las últimas notas del encuentro por si había cambios. El consejo revisó las notas y las aprobó.
IV. Razón – Previas Reuniones del Consejo Canceladas El P. Germán explicó al Consejo que las previas reuniones programadas del Consejo Financiero fueron canceladas debido a que la Iglesia estaba pasando por algunos cambios y prefería posponer la reunión hasta que se lograra una agenda mas sólida.
V. Presentación de Decanato Cuando las notas estén terminadas, el P. Germán enviará los documentos al Decanato. Al final de la reunión, Stéphane y el Padre firmaron la hoja que se debe enviar al decanato.
